WHAT WE’RE LOOKING FOR: 

We’re looking for an experienced Administrative & Operations Specialist to support our Executive Leadership Team (ELT).   

 

In plain English? We’re looking for a steady hand. The organized brain. The person who quietly keeps everything humming in the background so the business can run smoothly and efficiently. 

 

This is a part-time, remote contract role (10–12 hours per week) and ideal for a seasoned administrative professional who loves working with a smart, agile team and wants to make meaningful impact while maintaining flexibility and autonomy over their time. 

 

The successful candidate is someone who understands the events industry, works confidently with minimal direction, and provides steady, thoughtful support to a highly collaborative team. 

 

You’ll work closely with our ELT on priority projects and requests, while also using your own initiative and judgement to: 

 

  • Execute efficiently 

  • Spot gaps before they become problems 

  • Keep our systems tight 

  • Make sure nothing slips through the cracks

WHAT YOU’LL BE RESPONSIBLE FOR: 

  • Document & Resource Management 

  • Draft, update, and organize documents, templates, reports, and internal materials 

  • Prepare summaries, reports, and update data dashboards 

  • Maintain and update SOPs, checklists, and templates  

  • Systems & Data Support 

  • Enter and maintain data across internal tools and platforms 

  • Ensure accuracy, consistency, and organization within shared systems

  • Help build & maintain our systems infrastructure as we grow 

  • Vendor & Logistics Coordination 

  • Support vendor communications, confirmations, and follow-ups 

  • Book travel, accommodation, and related logistics for team members 

  • Track and maintain event supplies 

  • Support planners with event related tasks, as required 

  • Scheduling & Administrative Support 

  • Assist with scheduling, calendar management, and inbox-related tasks 

  • Support leadership with operational follow-through 

 

WHO YOU ARE: 

You’re experienced, meticulously organized, and confident working independently.  

 

You have: 

  • Experience supporting leadership teams in a remote environment

  • An understanding of or experience in the events industry 

  • Working knowledge of agency or event-based workflows

  • The ability to take tasks from brief to completion with minimal oversight

  • Sound judgement and the ability to identify when further input is required

  • Meticulous attention to detail and the ability to organize and manage your own work

  • A consistent and proactive approach to keeping information organized and accurate

  • Comfort working across different tools and systems, staying steady as things change

HOW WE WILL COMPENSATE YOU: 

  • $60.00 per hour | 10-12 hours per week 

  • The role is expected to work 10–12 hours per week on set days, with flexibility as event timelines and schedules evolve.
